Founded by Norma Hotaling in 1993, SAGE (Standing Against Global Exploitation) is a San Francisco-based nonprofit human rights organization that offers peer education, job training, trauma recovery and drug counseling, holistic and traditional healthcare, and a mentorship program for victims of trafficking, sexual exploitation, and violence, and for individuals involved in the sex trade industry, and for those thinking of or having left prostitution.

Position Description:

Under the supervision of the Chief Financial Officer and as part of SAGE’s administrative team, the Program Coordinator is responsible for Business Information Systems (BIS) inputting for three programs: SAGE Trauma and Addiction Recovery (STAR) program, SAGE Mental Health Services (SMHS), and the Satellite Sexual Trauma Counseling program (SSTC). These three programs are funded by the City of San Francisco under an administrative branch of the Department of Public Health (DPH) known as Community Behavioral Health Services (CBHS). Billable services and outcome measurements are tracked through the CBHS database called INSYST. Aside from billing, the Program Coordinator is also responsible for general office duties for the administrative office.

*DUTIES AND RESPONSIBILITIES:

Data Entry (80%)

• Review CBHS forms from STAR and SMHS programs for input into CBHS database, INYST, checking for accuracy of data according to CAL OMS Outcome Measurement standards.
• Identify any inaccurate or incomplete information and take all necessary steps to ensure corrections are made so that all billings are entered into INYST per monthly deadline.
• Input data to track units of service, outcome measurements, and client demographics.
• Work with the Chief Financial Officer to revise billing forms as needed.
• Prepare weekly and monthly reports for STAR, SMHS, and SSTC, particularly for the Quality Assurance Team so that Units of Service are properly tracked according to contract rates and quotas.
• Prepare weekly client data reports requested by management for QA Team such as a PURQC Due report for the SMHS program or an active client list for STAR.
• Perform daily INSYST/ MEDS lookups to determine if a client has San Francisco based full-scope Medi-Cal insurance.
• Perform monthly reconciliation of billable units of service provided and client data by comparing SAGE monthly internal reports with CBHS/Insyst generated monthly reports.
• Perform internal audits when there is a variance between INSYST and SAGE reports.
• Make corrections in INSYST according to CBHS generated error reports.
• Generate a quarterly MH1984 report for SMHS which corrects any billing errors discovered through quality assurance process.
• Attend meetings and trainings conducted by CBHS pertaining to BIS System.
• Protect client confidentiality per HIPAA and follow all HIPAA guidelines.
• Maintain files for STAR, SMHS, and SSTC programs and perform fiscal turnover operations.
• Communicate with all levels of staff professionally and appropriately.
• Perform other duties as assigned.

General Office Duties (20%)

• Pick up billings, sort and make deliveries of inter-office mail between SAGE’s service center at 1275 Mission St. and administrative office at 1385 Mission St. (one block apart).
• Perform basic reception duties for the administrative office, such as answering the main phone line
• Prepare and make bank deposits usually one time per week.
• Write memos and distribute to all staff as directed by management.
• Create business cards for all staff as needed.
• Order monthly office supplies for agency.
• Perform monthly copier counts for copier machines at both sites.
• Update staff phone list as needed.
• Assist HR with monthly staff meeting preparation such as agenda and generating certificates of merit
• Write thank you letters for annual donors and track individual donations in an Excel spreadsheet.


Qualifications:

• High school diploma.
• At least three years progressively responsible administrative experience in a human service organization
• Typing speed of 55 w.p.m. and ability to process forms with speed and accuracy.
• 10-key-by-touch.
• Experience using Microsoft Word and Excel.
• Experience entering data into a database and producing reports.
• Ability to reformat data from BIS and SAGE database to create spreadsheets and reports for management use.
• Ability to create, to learn, and use BIS software.
• Must demonstrate ability to multi-task
• Must be a self-starter who is able to work well under pressure and without much supervision.


Preferred:
• Intermediate Excel skills with knowledge of formulas.
• Good verbal and written communication skills.


Physical demands:
• Ability to move about an office and perform all tasks above.
• Ability to lift up to 25 pounds.
• Ability to read small print with accuracy.
